The problem

Nobody knows how many Microsoft 365 seats the company is paying for. The answer lives in a spreadsheet somebody’s predecessor maintained, a vendor portal nobody has the password to, and a renewal invoice that arrives with three days’ notice. Meanwhile a subscription auto-renewed last month for eleven seats when seven people work here, and a designer has been running a copy of a paid application on a laptop that was never licensed. For an MSP the same problem runs across a dozen client tenants at once — and the one thing worse than not knowing is a report that pools all the clients together and calls every one of them non-compliant.

What Solidlio does about it

Solidlio records three separate facts and compares them: the seats you have bought, the seats you have handed out, and the copies your RMM has actually found running. That comparison happens per product per organization, so one client’s spare seats never license another client’s installations. Money is priced only from what you actually recorded — the licence’s own recurring cost annualised by its own billing cycle, or its purchase price, or the product’s published MSRP — and when nothing is recorded the figure is reported as unknown rather than as zero. Renewals surface on a dashboard and as in-app reminders on the days each licence is configured for.

Software entitlements belong to a legal entity, and Solidlio never blurs that line — even when one MSP administers a dozen of them from one screen.

How it works

1. Record the entitlement. Add the product, then the licence: model, seat count, term, cost and the keys and account IDs you will need at renewal.
2. Hand out seats. Assign to people or to devices. The counter moves as you go, and the licence refuses to oversubscribe.
3. Let discovery fill in reality. An RMM integration reports what is installed on each device. Discovered vendors and products stay private to the discovering account.
4. Read the position. The compliance dashboard shows the score, the over-licensed products costing you money, the under-licensed ones exposing you, what expires in the next 90 days, and every installation with no licence behind it.
5. Close the gap. Attach a spare licence to an unlicensed installation from the dashboard, or jump straight into creating the licence that covers it.
6. Renew on time. The renewals calendar and the reminder notifications reach the licence’s own administrators, in their own portal, on the licence’s own schedule.

Compliance and audit

What can be reconstructed after the fact:

• Every seat. Who or what held it, who assigned it, when, when it was revoked, by whom and why. Revoked assignments are retained, not deleted.
• Every installation. Which device, which version, which install path, when it was first seen, and which discovery source reported it.
• Every library decision. Which platform administrator approved or rejected a product into the shared catalogue, when, and — for a rejection — the reason. A row never carries both an approval and a rejection.
• Every cost figure’s basis. Each priced line reports whether it came from the licence’s recurring cost, its purchase cost or the product’s MSRP, and each total reports how many licences could not be priced at all.

Stated plainly, because compliance claims should be: licence, assignment, product and vendor edits are not written to the platform audit log. They are recorded as the resulting row state. Library approvals and rejections are the exception and do record the actor.

Editions

Software Asset Management is included in full on every plan — MSP and end customer, Free through Enterprise. There is no seat, licence or product cap, and no feature is withheld by tier.

The hardware side of Asset Management does carry a per-tier cap on how many assets an account may own; it does not apply to software records.

Integrations

Shipped and in use today:

• ConnectWise Automate — discovered software inventory per computer.
• GLPI — software titles and their licences, per GLPI entity.
• Icecat — product enrichment for titles carrying an Icecat product ID.
• Firecrawl + Solidlio AI — vendor and product detail extracted from the vendor’s own website.
• Solidlio Contracts — a licence can be linked to the billing contract that pays for it.

The installation model additionally records INTUNE, SCCM, JAMF, DATTO, NINJAONE, AGENT and API as discovery sources for data imported through the API.
